Prepayment Terms and Conditions

PREPAYMENT TERMS & CONDITIONS

Definitions
  • Patient: The person receiving care from either Point Cook Chiropractic or Meadows Life Chiropractic.
  • Practice: Point Cook Chiropractic Health & Wellness Centre and/or Meadows Life Chiropractic Health & Wellness Centre.
  • Prepayment: Any payment made in advance prior to receiving chiropractic adjustments.
  • Package: The agreed number of chiropractic visits included in a prepayment.
  • Credit: Any monies held in the patient’s account.
Scope of Services

Prepayment packages cover standard chiropractic adjustments provided by the Practice.

  • Packages cannot be used for in conjunction with:
    • EPC, DVA or TAC claims.
    • Birthday discounts or vouchers.
    • The purchase of products or retail items.
  • Additional services outside standard chiropractic care (e.g., x-rays, massage, or external referrals) are billed separately at the current practice fee schedule.
General Terms
  1. Prepayments can be started at any time while the Patient is under care.
  2. Missed Appointment Policy:
    • A missed appointment will result in the deduction of one visit from the Patient’s prepaid credit.
    • Example: If the package allows a $55 adjustment, a missed visit will deduct $55 from the prepayment balance.
  3. Prepayments can be made via cash, card, or bank transfer.
  4. Credit Transfers:
    • Prepayment credit can be transferred to another nominated patient.
    • The nominated patient will receive the same fee structure as the original patient.
    • Adult or full-paying nominated patients receiving credit from a concession package will be credited at the equivalent adult service rate.
  5. Credit Expiry:
    • All prepayment credit expires if unused for 12 months from the date of the patient’s last visit, unless prior arrangements have been made.
  6. Outstanding Balances:
    • Any outstanding invoices on the patient’s account will be deducted from prepaid credit first.
  7. Price Increases:
    • In the event of a price increase, visits already purchased in a prepayment package will remain at the original rate until the package runs out.
  8. Prepayment packages must be fully paid when taken unless an instalment plan is agreed (see below).
Instalments & Upgrading Packages
  • Packages (except the Discovery Pack) may be paid in instalments as outlined in the Prepayment Schedule.
  • Instalments are due every 3 weeks until the package is fully paid.
  • Failure to pay within the instalment schedule will revert all past and future visits to the lower package fee schedule.
    • Example: An Enhancement package will revert to a Discovery package if the second instalment is not paid on time.
  • Upgrade to a higher package can be made within 3 weeks of taking out a package, either in a lump sum or instalments (with agreed due dates).
  • If an upgrade instalment is missed, the fee schedule reverts to the package already credited.
Private Health Insurance Holders

Private health insurance companies generally reimburse only for services already rendered and do not reimburse prepaid credits.

  • The Practice can provide a statement of visits utilised under the package for submission to your health fund.
  • Rebates will be deposited directly by your insurer into your nominated account.
Refunds

A patient may request a refund of any valid prepayment credit as long as it has not expired (see Credit Expiry above).
Refunds will be processed as follows:

  • A $50 processing fee applies.
  • Any outstanding invoices will be deducted from the remaining credit before refund.
  • Refunds are paid by bank transfer only, to an Australian bank account. Patients must provide:
    • Account Name
    • Account Number
    • BSB Number
  • No refunds will be issued to international accounts.
